Frequently Asked Questions

What is VOIP and how is it different from a traditional phone line?
VOIP stands for Voice over Internet Protocol. Instead of making calls over a traditional copper phone line, calls are made over your internet connection. This typically reduces call costs significantly, removes the need for expensive on-site hardware, and gives you much greater flexibility - including the ability to make and receive calls from laptops, mobiles, and desk phones using the same business number.
Will switching to VOIP disrupt my business?
Not if it's planned properly. We manage the entire transition for you, including porting your existing numbers across, so there's no gap in service. Most of our customers switch over with zero downtime. We schedule changes at a time that suits your business and test everything thoroughly before going live.
Can I keep my existing phone numbers?
Yes. In most cases we can port your existing landline or business numbers directly to your new VOIP system. We handle the process with your current provider and keep you informed at every step. You won't need to update your stationery or tell customers you've changed numbers.
What one-off costs should I budget for on top of the monthly price?
Three things sit outside the per-user monthly price. There is a one-off setup charge for building and configuring your system. Every line needs a phone line registration, from £18 per line, which is mandatory rather than optional. And if you want physical handsets, those are bought outright rather than rented. Direct dial numbers (DDIs) are the only genuinely optional one-off. We itemise all of it before you commit, and the quote builder totals the parts we can price up front.
Do I need to buy new hardware?
Not necessarily. Many VOIP systems work perfectly well using softphone apps on computers or mobile devices, which means no new hardware is required at all. If you prefer physical desk phones, we can supply and configure compatible handsets. We'll advise on the most cost-effective option for your team during the consultation.
Is VOIP reliable enough for business use?
Modern VOIP systems are extremely reliable, and in many cases more resilient than traditional lines. Call quality depends largely on your internet connection - we'll assess this as part of our process and advise if any upgrades are needed. We can also configure failover options so calls are automatically diverted if there's ever a connectivity issue.
Can remote workers use the same phone system as office staff?
Absolutely - this is one of the biggest advantages of cloud phone systems. Remote and hybrid workers can use a desktop or mobile app to make and receive calls on their business number, transfer calls to colleagues, and access all the same features as someone sitting in the office. It works over any internet connection.
How much does a VOIP system cost?
Costs vary depending on the number of users, the features you need, and whether you want desk phones. Cloud VOIP systems are typically charged on a per-user monthly basis and are almost always cheaper than maintaining traditional phone lines - especially when you factor in call costs and the removal of line rental fees. We'll provide a clear, itemised quote with no hidden charges.
Do you support businesses outside of Kent?
Yes. While we're based in Kent and have strong relationships with businesses across the county, we support clients throughout the UK. Cloud phone systems can be set up and managed remotely, and we're experienced in supporting distributed teams across multiple locations.
